Job Description
The Executive Assistant will provide front line administrative support, performing a broad range of duties for the Vice President (VP) . The ideal candidate is highly motivated, professional, and capable of managing a diverse workload while prioritizing tasks in a fast-paced environment. This team member will be responsible for a versatile task list, exercising independent judgment in handling correspondence, preparing and distributing reports and presentation materials while providing project support, scheduling and calendar support, and general administrative duties in a collaborative environment.


Role and Responsibilities

• Works directly with the VP throughout the day to assist in delegating tasks, enabling VP to focus on strategy and operations
• Proficient use of MS Office and display an interest in learning other tools (Procore)
• Responsible for high level calendaring of VP and other attendees for meetings and appointments
• Composes and manages confidential correspondence, reports, and other documents
• Manages all communications on behalf of VP, including but not limited to mail, email, thank you notes, telephone, meetings, reports, copying, filing, etc.
• Updates and maintains all contacts and files regularly
• Prepares documents and records as requested, such as agendas, notices, and minutes for meetings
• Interfacing with the VP by creating a welcoming environment (in person, over the phone, and via email) and exhibiting a high level of professionalism
• Anticipates needs of VP and ensures a consistent and open line of communication
• Assists with needed tasks of Executive Leadership Team as determined by VP
• Maintains a highly functional and organized work environment
• Upholds a strict level of confidentiality
• Perform other duties as assigned by VP


Hiring Requirements
• College degree preferred and at least two years of executive level administrative support
• Manages time and prioritizes effectively, and has ability to orchestrate multiple activities at once to accomplish goals
• Composed and cool, ability to hold things together under pressure

• Creative, ability to develop unique ideas and solutions
• Excels in a collaborative environment and easily works independently
• Excellent oral and writing skills
• Establishes and maintains effective relationships with clients and gains their trust and respect
• Highly proficient in Microsoft Office Suite

• The employee is frequently required to stand, walk, use hands to finger, handle, or feel, type, and reach with hands and arms; and requires the ability to occasionally push, pull, lift and/or carry supplies up to 25 pounds
• The employee is required to perform physical and repetitive motions


Compensation and Benefits

This is a full-time exempt position, requiring occasional evening and weekend work. Annual salary is $50K-$70K DOE. Clark Construction is an Equal Opportunity Employer.

Paid time off: 80 hours per calendar year of paid time off (“PTO”) for sick, vacation and personal time

There are 7 paid holidays each year:

Insurance:
Eligible for health, dental and short-term disability insurance on the first day of work for employees working at least 30 hours per week
